CGS Technologies - Corporate Solution

SmartSearch TM
a Document Managment Solution
. This solution was implemented into all departments of the company. They had a fifteen years old Document Archive System that the manufacturer has not been supporting for years. IPT Worldwide and ITCS introduce two DMS solutions to CGS Technologies and they choose SmartSearch as the solution that was the right one for them.
Then their IT Support company wanted to update their Servers that were needing to be replaced along with some network infrastructure equipment. All of this hardware, software and professional services were combined and the client leased the entire project.
SmartSearch was configured for each of the following CGS's Departments:

Accounts Receivable
- Checks - Payments
This is where the checks are archived after they have been printed and prior to being mailed.
- Invoices - Bills
This is where the incoming business bills are added to SmartSearch to be paid after approval.
Accounts Payable
- Consultants - Timesheets
Timesheet are now downloaded from clients website portal and saved as PDF files into a folder that SmartSearch then imports into a specific "Inbox", instead of printing two copies of them and then scanning one of those copies into their fifteen year old archive software.
After all Timesheets have been entered, The data is then exported out into an Excel Files and hten is prepared to be transmitted to ADP to pay all Consultants and Employees.
- Consultants - Information
Consultant information is used for lookups durin the data entry of Timesheets using Data Xchange to merge data into appropriate index fields automatically by just entering their name.
- Invoices - Bills
This is where the they Search for all Consultants that worked for a client for a two week period. Using the search allows them to have all information needed to createn Invocoice for that client without looking at each timesheet.
- Cash Receipts
This is where the payments from the cleints are processed against their invoices.
Human Resources
- Active Consultants
This is where Active Consultant documents are archived when they are on assignment. Each Consultant has six sub-archives folders that each will have designated document types held in them. When Indexing each document type instead of typing all of the date into each field. The user will use Data Xchange to merge data into appropriate index fields automatically by just entering their name.
- In-Active Consultants
This is where Inactive Consultant documents are archived when they are not on assignment. Each Consultant has six sub-archives folders that each will have designated document types held in them.
- Employees
This is where all Employees documents are archived. Each Employee has six sub-archives folders that each will have designated document types held in them. When Indexing each document type instead of typing all of the date into each field. The user will use Data Xchange to merge data into appropriate index fields automatically by just entering their name.

ITCS's - iCloud-SaaS
Launched "Service as a Solution" for Remote Hosting for SmartSearch Clients on December 1, 2011
The iCloud-SaaS was successfully started on December 1, 2011 at ITCS, LLC to provide an option for clients wanting to purchase SmartSearch software,
but did not want to purchase hardware for the SmartSearch application and the clients data.
The iCloud-SaaS allows Square 9 Softwork to have a location that clients can pay monthly to use a server that has been specifically prepared to have SmartSearch installed, supported and backed up to their specifications.
Basic iCloud-SS for $300.00 per month (up to 5 concurrent users) includes the following:

Server running: Windows 2008 R2, Hyper-V, SmartSearch installed with NO license.

Server running: Windows 2008 R2, MS SQL 2008 installed with an instance specific for each client

Storage: Dedicated 100 Gb Disk Space, Raid-1, for SQL Database, Inboxes and Document Files.

Up to five concurrent users using a secure VPN connection.

Security: Users will use Active Directory Login for authentication and security.

Backup: Daily of SQL Database, Inboxes, Archives and Document Files.

Support: Technical Support: 7AM to 7PM EST, M-F.

Client supplies SmartSearch License for activation

Client is responsible for Annual Maintenance for SmartSearch

ITCS assisted in the development and deployment of an Enterprise Content Management Solution for MultiPlan, one of the largest suppliers of healthcare management solutions in the United States. Initiated over one and a quarter years ago, this endeavor spans numerous departments, uniting and controlling the flow of documentation across the organization in order to ensure that critical information is readily accessible by both internal and external users.
MultiPlan's ECM project has resulted in the creation of a massive document repository consisting of at least 40 document types and tens of thousands of electronic documents and forms that have been indexed for easy retrieval and routing based on complex business rules. Users in disparate locations across the country can access these key documents as needed, based on security rules that ensure information privacy and regulatory compliance.
MultiPlan's family of healthcare networks serve more than 40 million consumers, and consist of more than half a million healthcare providers. They process more than 70 million claims each year.
